Terms & Conditions

BOOKINGS & PAYMENTS

Bookings and payment will be made via our website - www.cotswoldquadding.co.uk.

  • Full payment is due at the time of booking, we do not take any deposits and your booking is not confirmed without payment

  • Once the booking is made it cannot be amended online, if you need to make any amends to your booking please contact us on sayhello@cotswoldquadding.co.uk

  • If any refunds are necessary, they will be made within 7 working days from the date of request

  • You will receive a confirmation email once you’re booking has been made online

CANCELLATIONS & RESCHEDULING

You may cancel your booking up to 7 days before in order to receive a full refund. If you wish to amend your booking in any way, please contact us up to 7 days in advance to do this. 

  • Only we can cancel bookings due to bad weather conditions if we deem it to be dangerous

  • If you cancel your booking within 7 days of your trek date, we can’t offer a refund

TIMINGS & ARRIVALS

During the day we run several quad treks so it’s important we keep to a strict schedule, we want all customers to enjoy their experience equally. 

  • Please arrive at least 15 minutes before your scheduled quad trek, this will allow you time to park up, find your bearings and change into any clothing you’ve brought with you

  • If you are late, this time may need to be taken off  your total trek time. Where possible we will do our best to work with you to ensure you get your full trek time but in some cases this might not be possible

  • If you are running late, please give us a call to let us know. If you don’t call in advance, we can’t guarantee the instructor will wait any longer than 30 minutes. 

  • If you do not show up without contacting us, we cannot offer you a refund

  • Each quad trek will start with up to 30 minutes of training and H&S briefing

  • We recommend signing your waivers online before you arrive, this saves you time when you get to the session and means we can get riding straight away

 

 

SAFETY

While we want people to have fun during our treks, everyone’s safety is the most important. At all times we must respect the safety of the instructor, riders, Farncombe guests and any animals on the estate. 

  • All riders must be over the age of 16 to participate in a trek

  • All treks will begin with a training and safety briefing, these will last up to 30 minutes (dependant on the size and competency level of the group). The instructor may choose the cut the training and safety briefing short if all riders are confident enough before the end of the 30 minutes. 

  • Phones must not be used at all during the trek as you will be operating a powerful electric vehicle. To avoid temptation, phones will be kept by the instructor in lockable pouches or you may choose to leave it in your vehicle. We know you’ll want to capture some memories so don’t worry our treks all have photo opportunity stop offs. 

  • Safety starts with what you’re wearing, no open toe shoes will be allowed.

  • Helmets will be provided. Each helmet is sanitised after every use, our helmet dryer with ioniser sanitises the interior of the helmet eliminating bacteria and odours. 

  • You may bring your own helmet if you have one, however the instructor does have the right to ask you to wear a helmet we provide if we deem yours to be unsuitable for this activity

  • We have goggles for you to use should you wish, however you may choose to wear your own sunglasses or safety glasses. We do recommend goggles as you’ll be surprised what can still get in behind your normal pair of glasses!

  • We also have balaclava’s available to use if you wish, these are washed with antibacterial detergent after every use

  • We advise wearing gloves in the winter as your hands will be exposed to the elements, keeping them dry and warm will ensure you have a much more comfortable experience. Gloves are advised but not necessary.

  • Single riders only, no passengers allowed. Unless deemed absolutely necessary by the instructor(s) in which case, only the instructor(s) are allowed to carry a passenger.

CLOTHING

When choosing what to wear it’s important to think sensibly about the weather and temperature as well as choosing something you can comfortably move in. This is an outdoor activity so dress in mind for the weather to change, we recommend bringing layers with you. Please also wear clothing you are prepared to get wet and/or muddy. 

 

We also strongly recommend bringing a change of clothes with you, particularly in the wet weather. We have somewhere on site for you to get changed, there will be no having to get changed under you car boot when you book with us. 

 

It might be sensible to bring: gloves, glasses, waterproof, suncream and definitely a change of clothes and shoes in the winter!

WEATHER

As an outdoor based adventure, we are indeed in the hands of mother nature. We all know what the great British weather can be like so it’s important to be open and transparent about what to expect and what can sometimes happen.

  • We will still operate on a rainy day, just be prepared to get muddy, wet and inevitably a little cold.
    In these conditions you can hire a knee length rain Mac for a small fee of £XX

  • In the event of severe weather (e.g. persistent torrential rain or storms) we may have to reluctantly cancel the booking. If in the unlikely event we have to do this, you can opt to reschedule or get a full refund. 

  • We will still operate in the snow, dress accordingly as it will be cold but very very beautiful 

  • Likewise we will continue to operate on the warmer days, please dress appropriately for the weather. We recommend layers and sun cream is an absolute must - you’ll be amazed how much you catch the sun on the hill!

MOBILE DEVICES

For the safety of yourselves, Farncombe guests and the instructor our treks are phone free. While to some that thought can seem scary, believe us when we say it’s invigorating to be away from your phone for a few hours. 

  • All phones will be kept on the instructor in secure phone pouches, designed purposefully to keep phones safe and without reach for a set period of time. 

  • Anyone that wishes to leave their phone (or any other personal belongings) within their car during the trek is of course allowed to do so, however we cannot be responsible for any loss or damage to your belongings.

WAIVER

Before starting the training and safety briefing all participants MUST have signed their waiver. All participants will be asked to read and sign the waiver before arrival in order to safe time. However, if someone has failed to sign before arrival it can be done onsite, the additional time taken to do this will not be added onto your trek time. 

  • Waivers will be sent to you in your booking confirmation email and can be signed and returned digitally 

  • A copy of your waiver will be saved on file for at least 1 year

INSTRUCTOR RIGHTS

While we expect the majority of treks to run smoothly with no need to deviate from the normal procedure, our instructor(s) are responsible for keeping the group safe. Therefore our instructor(s) have the right to do whatever is deemed necessary to maintain the groups safety at all times.  

Including but not limited to;

  • The right to refuse single participants or groups if deemed to be under the influence of alcohol or drugs. No refunds will be offered in this instance. 

  • The right to refuse single participants if they don’t have the required strength to handle the quad bike, this will be determined after assessing the riders ability during the training and safety briefing. We will do our best to offer a partial refund of 50% in this instance but this is not guaranteed. 

  • The right to alter the trek if deemed necessary for safety reasons, this may be due to weather conditions or ability of the riders.

  • The right to allow someone to ride on the back of the instructor quad (only if absolutely necessary). 

  • The right to stop the trek at any point if riders are deemed to not be following the instructions given in the initial training and safety briefing. 

  • The right to stop the trek and refuse further participation if any rider is riding recklessly and continues to do so after prior warning

QUAD INSPECTIONS & DAMAGE

All of our quad bikes are well maintained and looked after. Each quad bike is checked and tested before every session to ensure the horn and most importantly breaks (as it is very hilly!) are in full working order.

 

Any damage caused to the quad bike as a result of reckless behaviour from the rider will be charged accordingly. However, we do expect our riders to respect our quad bikes and see this being a very unlikely situation.
